GST invoicing that stays straight from the first invoice to the filed return
GST invoicing software for Indian businesses with more than one registration — invoices carry the issuing branch, corrections go through credit notes, and every return month ends in a pack your CA can upload.
The challenge
GST mistakes rarely come from the tax rate. They come from the wrong registration on the invoice, an IGST charge on what was really an intra-state supply, or an issued invoice that someone quietly edited after it was reported. A business with offices in two states doubles the chances of each, because every document has to be issued from the right GSTIN and print the right address for the place of supply.
Month-end then becomes a reconstruction exercise. Someone exports invoices from the billing tool, credit notes from somewhere else and receipts from the bank, and a CA rebuilds the GSTR-1 in a spreadsheet. Customers who deduct TDS pay less than the invoice value, so receivables look overdue when they are really waiting on a Form 16A, and nobody can say which invoices were already reported in which return.
The fix isn’t a cleverer spreadsheet. It is invoicing, receipts and filing living on the same records, so the return is built from the invoices as issued, corrections are visible as credit notes, and each invoice remembers the period it was filed in.
How DexVee helps
From invoice to filed return on the same records
In DexVee, GST invoices, credit notes, receipts and filing packs are part of the same Finance module. The pack for a return month is built from the invoices actually issued, and marking it filed stamps each of those invoices with its filing period.
CGST/SGST or IGST on every line
Each invoice line carries its HSN/SAC code and GST rate, split into CGST and SGST for an intra-state supply or IGST for an inter-state one. The split is suggested from the customer’s bill-to GSTIN or state and shown before you issue, and each line can be adjusted.
The issuing branch on the PDF
Each office is recorded as a branch with its own GSTIN and address. Invoices, estimates, sales orders and proforma invoices print the issuing branch’s address and GSTIN, rather than a single head-office block on every document.
Locked invoices, credit notes for corrections
Once an invoice is issued, its line items, number and discount can’t be edited and it can’t go back to draft. Corrections go through a credit note linked to the invoice, which reduces its balance and flows into the return as a credit note.
TDS on customer receipts
Record the TDS a customer deducted on a receipt, split across invoices if needed, so the invoice is settled at its gross value. Import Form 26AS or AIS to match it, keep a Form 16A register per customer and quarter, and send statements of account that show TDS.
GSTR-1 packs per GSTIN, marked filed
Build a pack for any return month per GSTIN: GSTR-1 JSON for the portal’s offline upload, a review workbook with HSN summary, credit notes and validation, and a GSTR-3B estimate. Marking it filed stamps every included invoice with its filing period.
GSTR-3B, GSTR-2B and GST challans
Import a GSTR-3B capture per GSTIN, match the portal’s GSTR-2B against your bills to see input tax credit missing from your books, and keep a PMT-06 challan register from CPIN to paid, with the challan file attached; a paid challan can’t be edited, cancelled or deleted.
What this looks like in practice
- An issued invoice can’t be quietly edited after it was reported; the correction is a credit note that the next return picks up.
- A customer who paid net of TDS shows as settled, with the deduction waiting to be matched against 26AS rather than sitting as a false overdue.
- Your CA receives a GSTR-1 file per GSTIN built from the invoices you actually issued, and every invoice afterwards shows which return it was filed in.
Frequently asked questions
No. DexVee builds the GSTR-1 JSON your CA uploads through the portal’s offline tool, plus a review workbook. Filing itself happens on the portal; afterwards you mark the pack filed in DexVee with its reference. There is no direct GSTN or GSP filing integration today, and GSTR-3B is imported rather than generated as a portal file.
Not yet. e-Invoice IRN generation through the IRP isn’t built, and e-way bill API filing isn’t either; API filing through a GSP is planned but not built. Today you can record an e-way bill number and file against a dispatch, and DexVee produces a work instruction to help whoever enters it on the e-way bill portal.
From your own office locations. Add each registered office with its GSTIN under Settings › Organisation and mark one as head office. A customer in a state where you have a GSTIN is billed from that branch (CGST + SGST); every other state is billed from the head office (IGST). The split is shown on the draft before you issue it, and the rate on every line can still be edited.
The receipt records both the amount received and the TDS deducted, and the invoice is settled at its full value. TDS can then be matched against an imported Form 26AS or AIS, Form 16A certificates are tracked per customer and quarter, and customer statements show deducted and unconfirmed TDS separately.
