Decide which tenders to file before the deadline decides for you
Tender and bid management for Indian businesses that sell to government, PSU and enterprise buyers — eligibility checks, AI tender analysis, a daily filing board and proposals in one place.
The challenge
A company that sells to government and PSU buyers in India can see hundreds of tenders a week across GeM, the Central Public Procurement Portal, state e-procurement sites and aggregator digests. Most are irrelevant. The handful that matter get triaged in a spreadsheet by whoever has time that day, and a good tender is often noticed only once there’s no longer enough time to prepare it properly.
Many tenders are lost before price is even compared. A turnover threshold, an OEM authorisation, a certification or a past-experience clause rules the bid out, and the team finds out two days before closing while assembling documents. EMD amounts, bank guarantee limits and which portal login is needed are tracked in someone’s head, if at all.
Then the learning is lost. Nobody writes down why a tender was dropped, who won it, at what rank or price, so next year the same unwinnable tenders are chased again and there’s no picture of which competitors keep winning which buyers. Meanwhile proposals for private RFPs are rebuilt from an old Word file every time.
How DexVee helps
From tender notice to signed PO, on one record
DexVee’s Bids module keeps every tender on a single record linked to the buyer in your CRM — its dates, EMD, eligibility clauses, documents, competitors and outcome — and ranks what’s open so the team spends its preparation time on tenders it can actually win.
One tender register
Add tenders by hand or import an Excel or CSV export, with source, category, value, EMD amount and mode, tender fee, and published, closing and bid-opening dates. Deadline filters and a calendar view show what closes today, this week and this month.
AI tender analysis
Run a Claude-powered analysis on a tender’s text to get scores for value, timeline, compliance and category fit, an estimated win probability, the key risks with mitigations, and a pass, fail or warn compliance checklist.
Clause-by-clause eligibility
Requirements are extracted from the tender documents or added by hand, each with its source clause, a mandatory flag, your response and evidence. They’re matched against your company capability register — turnover, certifications, OEM partnerships, registrations, past projects — and roll up to Eligible, Partial or Not eligible.
Daily Bid Manager board
Every open tender is scored on six weighted dimensions — capability fit, eligibility readiness, deadline runway, commercial fit, win likelihood and strategic value — and checked against hard gates such as a failed mandatory clause, EMD above your bank guarantee limit, too little preparation time or no saved portal login. Each gets a clear action, from “file today” to “drop”, with its reasoning shown.
Competitors and outcomes
Record the winner, ranks and quoted amounts for each tender, see each competitor’s win rate against you, and log a structured reason for every no-go or loss. Bid analytics show the pipeline funnel and win rate by status, category, source, owner and month.
Proposals that close the loop
Generate PDF proposals for bid responses, solutions, scopes of work and AMC contracts, with revisions, reusable terms and conditions templates, and automatic follow-up reminders. Recording the customer’s PO marks the deal won and creates the delivery project or AMC contract.
What this looks like in practice
- A bid manager starts the day with a ranked list of open tenders and the one worth filing today, instead of re-reading a spreadsheet of hundreds of notices.
- A missing certification or OEM authorisation is caught when the tender is first assessed, not two days before closing while documents are being assembled.
- After a year of tenders, the team can see which buyers it wins with, which competitors keep beating it, and why bids were dropped — on the record, not in memory.
Frequently asked questions
No. Filing stays with your team on the portal itself, where your digital signature certificate and portal login are needed. DexVee does the work around it: it tells you which tenders to prepare, checks eligibility clause by clause, holds your documents, and keeps your e-procurement portal logins in an encrypted vault with an access log, so the person filing has everything ready.
You add them yourself, either one at a time or by importing an Excel or CSV file, such as the export from a tender-alert subscription you already pay for. DexVee doesn’t scrape GeM, CPPP or state portals into your workspace, so each tender in the register is one your team chose to track.
No. The board uses fixed, visible rules: six weighted dimensions and a set of hard gates, with the reasoning and next steps shown for every tender. The AI tender analysis is one input to the win-likelihood dimension, not the whole decision, so a recommendation can always be explained.
Each tender links to the buyer’s CRM lead, contact, company and deal, and shows its proposals. A proposal links back to the bid, lead, deal and finance estimate. Approving a proposal against the customer’s PO marks the deal won and starts delivery. Proposals are downloaded as PDFs and sent by your team; DexVee doesn’t email them for you.
