AMC Contract Billing Automation

AMC billing has a specific failure mode generic invoicing tools don't solve. Here's how to actually automate it, including GST and out-of-scope parts.

AMC billing looks simple from a distance โ€” the contract has a fixed annual or quarterly amount, so raising the invoice should be trivial. In practice it's one of the more commonly mishandled recurring-revenue processes in service businesses, because the contract terms and the actual billing process usually live in different places, and because real AMCs are rarely as simple as "one fixed number, four times a year." Here's how to actually automate it.

The core problem: contract terms and billing are disconnected

In a typical unautomated setup, the AMC contract exists as a signed PDF or a line in a spreadsheet, and someone in finance has to remember it exists, look up the amount, and manually raise an invoice each billing cycle. Miss a cycle and that revenue isn't just late โ€” in a business with dozens or hundreds of active AMCs, it often never gets billed at all, because nobody notices a missing invoice the way they'd notice a missing payment.

The fix isn't a better reminder โ€” it's making the contract record itself the source that generates the invoice, so billing doesn't depend on a human remembering the contract exists.

Where it gets more complex than "one fixed number"

Real AMC billing has to handle a few patterns a naive automation misses:

  • Comprehensive vs non-comprehensive contracts. A comprehensive AMC covers parts and labour under the fixed price; a non-comprehensive one bills parts separately. Billing automation needs to know which type of contract it's generating an invoice for, not apply one rule to both.
  • Out-of-scope work on top of the base contract. A visit might use parts that aren't covered under the AMC at all โ€” automation should be able to add those as separate billed line items without manually reconstructing what happened on-site from an engineer's notes.
  • Mid-cycle adjustments. A contract downgrade, a partial-period cancellation, or a service credit all need to be reflected with a proper credit note carrying the correct tax reversal โ€” not a manually edited invoice that breaks the audit trail.
  • Multi-GSTIN billing. If your AMC customers span multiple states, or you bill from more than one registered office, every recurring invoice needs the correct CGST/SGST vs IGST split determined automatically, not recalculated by hand each cycle.

A worked example

The numbers below are an illustrative scenario, not a real customer's data โ€” useful for seeing where the leakage actually happens.

Picture a fictional facilities-management company, Meridian Facilities Services, running 220 active AMC contracts: 140 comprehensive, 80 non-comprehensive that bill parts separately.

Failure modeMonthly frequency (illustrative)Approx. annual impact on 220 contracts
Missed billing cycle (no one noticed the invoice was never raised)~3% of contracts/cycleโ‚น9โ€“14 lakh in unbilled, unrecoverable revenue
Out-of-scope parts used on-site but never added to the invoice~1 in 5 non-comprehensive visitsโ‚น4โ€“6 lakh left on the table across 80 contracts
Wrong CGST/SGST vs IGST split, caught only at filingA handful of invoices/quarterRework + GSTR mismatch risk, not just lost revenue
Renewal missed because overdue AMCs weren't cross-checked against expiry datesA few contracts/quarterFull contract value at risk, not just one cycle

None of these show up as a single dramatic error โ€” each is a few invoices a month. At 220 contracts, "a few a month" compounds into a meaningful, structural revenue gap that a generic invoicing tool won't surface, because it has no concept of an AMC contract's billing cycle or coverage type in the first place.

A practical approach to automating it

  1. Structure the contract, don't just store it. Amount, billing frequency, coverage type (comprehensive vs not) and the billing GSTIN should be structured fields on a contract record, not text in a PDF.
  2. Generate the invoice from the contract, on schedule. The billing cycle should trigger invoice generation automatically from the contract's own terms, with a review/approval step if you want a human check before dispatch โ€” not a manual raise-from-scratch each period.
  3. Feed field data into billing for non-comprehensive contracts. If a completed maintenance visit records parts used, that data should flow directly into the next invoice as billable line items, rather than being manually reconciled from a service report weeks later.
  4. Apply GST determination as a pure function of billing office and customer state. This should run identically on cycle one and cycle forty โ€” a rule, not a per-invoice manual decision.
  5. Track AMC-specific ageing separately. Knowing which AMC accounts are overdue, cross-referenced against upcoming renewal dates, catches a pattern generic finance reporting often misses: a customer who's behind on payment is also a renewal risk.

A checklist

  • Every AMC contract has structured amount, frequency, coverage type and billing GSTIN fields.
  • Invoices generate automatically on the contract's billing cycle.
  • Non-comprehensive contracts can add out-of-scope parts/labour as separate billed line items from field data.
  • GST split (CGST/SGST vs IGST) is calculated automatically per invoice, based on billing office and customer state.
  • Mid-cycle adjustments produce a proper credit note, not a manually edited invoice.
  • AMC-specific ageing/overdue reporting exists, cross-referenced with renewal dates.

What this looks like in DexVee

In DexVee, a fixed AMC fee is set up as a recurring invoice: amount or line items, frequency (monthly, quarterly, yearly) and next due date. A nightly job raises each due invoice as a draft, so finance confirms the GST treatment before anything reaches the customer, and each contract's next billing date is flagged in the daily digest when it falls due. Out-of-scope work is billed from the field: when an engineer completes a work order with billable parts or services, DexVee drafts that invoice automatically. Both run on the same customer account, including for multi-GSTIN organisations.

If your AMC invoices today depend on someone remembering each contract exists, that's the specific gap worth closing before revenue quietly slips through it.
